> [!abstract] Summary
> Kitsu is the production tracking and review platform used at Alternatives productions, hosted at `https://kitsu.alternativesprod.fr`. Artists use it to **update task statuses**, **upload previews for review**, and **read supervisor feedback**. Keep your tasks up to date at all times — the production overview depends on it.

| **Todo** | Not started |
| **Ready** | Ready to be picked up by someone |

| **Waiting For Approval** | Uploaded and ready for supervisor review |

## Daily Artist Workflow
> [!important] Always keep your status accurate — an outdated status misleads the whole production.
- Filter to your production and status `Todo` or `WIP`.
**During the day:**
- Set a task to **WIP** as soon as you start working on it.
- Never leave a task as **Todo** if you've already started.
**When uploading:**
- Set the status to **Waiting For Approval** and attach your preview.
- Add a comment describing what you did and any questions.
**After a retake:**
- Read the comment fully before touching anything.
- Apply changes, re-upload, set back to **Waiting For Approval**.
- In your comment, describe what was addressed specifically.
**End of day:**
- Make sure all statuses reflect your actual progress.
- If something feels wrong (missing asset, wrong frame range, broken task), notify your us on discord.
---
## Using the Assets View
The **Assets** tab shows all assets with task columns per department.
- Expand groups (Character / Environment / Prop) to see assets.
- Use the **Filters** bar to filter by task type, department, status, or descriptors.
- Click a cell in any task column (e.g. Modeling, Rigging) to open the task panel.
![[image-193.png]]
---
## Using the Shots View
The **Shots** tab lists all shots, grouped by sequence.
- Browse sequences and shots and see all tasks per shot (Layout, Animation, FX, Lighting, Comp…).
- Filter by sequence, task type, or status to focus on your department.
- Open the shot detail to see frame range and all related tasks.

## Uploading Previews
> [!warning] Depending on the project we will manage media on discord or on kitsu
> Always upload a preview when setting a task to Waiting For Approval — never change the status without attaching work.
1. Open the task from **My Tasks**, **Assets**, or **Shots**.
2. In the **Previews / Versions** area, click **Upload**.
3. Drag-and-drop or select files. Accepted formats: `.jpg`, `.png` or `.mp4` --> **We don't publish final version on kitsu, we publish preview sostay light with the file format**
4. Add a comment describing the version — e.g. *"Blocking pass"*, *"Spline v2"*, *"Lighting first pass"*.
5. Click **Send** — Kitsu re-encodes the video for web playback automatically.
6. Set the status to **Waiting For Approval**.
> [!warning] Naming Convention for Kitsu upload is `[assetName]_[taskName]_[Version]`
**eg : HLDV_prop_joelHelmet_modeling_v0001.jpg**
![[image-195.png]]
### File Naming
Follow PROTOCOL conventions:
```
sqXXXX_shXXXX_taskName_vXXXX.ext
assetName_taskName_vXXXX.ext
```
> [!tip] Upload only what is necessary — older versions remain accessible in the history.
---
## Comments and Mentions
Each task and preview has a comment thread — keep all feedback and context inside Kitsu.
- Add comments on the task or directly on a specific preview frame.
- Use **@mentions** (if enabled) to ping a specific teammate.
- Use the thread to track retake notes and approvals instead of email or DMs.
> [!note] If Discord integration is active, comments and status changes will automatically push notifications to the relevant channels.
> Currently it is setup to private message :

## Retakes and Approvals
**When you receive a retake:**
1. Supervisor sets status to **Retake** and leaves notes in the comment thread.
2. Read the notes carefully — if anything is unclear, reply in the thread to ask before making changes.
3. Apply changes, upload a new preview, set back to **Waiting For Approval**.
**When approved:**
- Supervisor sets status to **Done**.
- The task disappears from your Todo/WIP filters but remains in history.
> [!tip] A Retake is not a failure — it is a normal and expected part of production.
---
## Schedule and Deadlines
Kitsu includes schedule views
| View | Purpose |
| ---- | ------- |
| **Main Schedule** | Global milestones and deadlines across productions |
| **Team Schedule** | Tasks per artist over time |
| **Production Schedule** | Gantt-like view inside a specific project |
